Before you begin
Open the correct client or engagement and verify the intended audience. Decide whether the item is a question, document request, query, confirmation, note, or follow-up. Choose an owner and a due date. Keep the supporting evidence ready and remove unrelated sensitive information.
PBC/IRL lists
Create from the correct template/engagement, review every item/owner/due date, send/remind through the approved visibility path, review responses/files, update item status and export the final list. Do not mark complete from filename presence alone.
Third-party confirmations
Create the correct type/party and amount per books under auditor control. Verify address/contact independently, prepare/review the request and record actual send date. Track Drafted/Sent/Reminder/Received; upload the direct response. Enter amount per confirmation: the system computes the difference and marks it Matched or Exception Found against its threshold. A reply that differs by more than the threshold cannot be set to Matched by hand. Raise each exception to Findings; it is decided there, in Review › Findings. On Collaboration › Confirmations, each exception row offers Bookmark, Ask…
This is the tracking workflow referenced by the separate Ageing SA 505 readiness screen.
Notes, comments, attachments, and visibility
Create/edit/delete notes within permission, choose internal/client-visible carefully, and convert a note to a query or document request only when intended. Add comments/mentions/attachments with a professional audit trail. Client visibility is internal by default and role-approved: preview what the portal receives, approve, verify result, and revoke/withdraw with awareness that a client may already have seen/downloaded it.
The client portal opens in a later phase. Until then everything stays inside the firm: client visibility cannot be approved, nothing is shared with or sent to the client, and the firm asks the client by email or offline.
Expected result
PBC and confirmation evidence remains auditor-controlled; notes/comments are traceable; and nothing reaches the client until the client portal opens.
