Check before inviting
Confirm the person's identity, work email, employment/contract status, and required start/end date through the firm's approved process. Select the least-privileged role that permits their work. Identify only the engagements and engagement roles they need initially. Search Team Members and Invitations for an existing account or pending invitation.
Send the invitation
Navigate to Settings → People → Team. Click Invite Member. Enter Email and optional Full Name. Select Role. Enter a Personal Message containing no client or password information. Add each optional engagement assignment and engagement role. Review recipient, role, and assignments. Send once and wait for Invitation sent to [email]. Verify the invitation row and status.
The recipient sets their own password in the acceptance flow. Never create or transmit a password for them.
Resend or revoke a pending invitation
Use Resend only after confirming the email and intended access are still correct. The recipient should use the newest invitation. Use Revoke when the recipient, role, assignment, or need is wrong. Confirm the exact invitation before the consequential action. Create a new invitation after correcting the details rather than asking the wrong recipient to ignore privileged access.
Change a member's role
Find the person under Team Members and open Change Role. Choose New Role. Enter the required Reason. Review the access gained and lost, including work ownership/review duties. Click Confirm Change. Wait for Role changed to… and verify the effective permissions.
Deactivate, reactivate, or unlock
Before Deactivate, reassign owned work, approvals, client communication, and deadlines. Confirm the person and action. Deactivation blocks access but should not erase their audit history. Reactivate restores access under the current role/overrides; review them first. Unlock clears an access lock. Verify the person's identity and investigate suspicious failed attempts before unlocking.
Expected result
The invitation/account belongs to the intended person, carries only required access, and its status and role changes are traceable. Departed users cannot sign in and their historical actions remain.
