Before you begin
Open the correct firm workspace and confirm the setting you intend to change. Check that your role allows the action. Gather the approved firm, user, template, rate, branding, or integration details needed for the task. Review any effect on active users, clients, engagements, returns, or reports before saving.
Invite a team member
You need the team.invite permission.
Navigate to Settings → People → Team management. Click Invite Member. Enter the person’s Email and Full Name. Select a Role. Add an optional Personal Message that contains no client-sensitive data. If engagement assignments are available, add only the engagements and engagement roles the person needs. Review the email, role, and assignments. Send the invitation.
Expected result: Invitation sent appears and the invitation is listed under Invitations.
Invitation follow-up
Change a member’s role
You need the team.changerole permission.
Find the member under Team Members. Click Change Role. Select New Role. Enter the Reason. Review the access increase or reduction. Click Confirm Change.
Expected result: Role changed appears. The change is recorded in the permission audit history.
Changing a professional designation does not grant activities on work controlled by an active team. Use that engagement or return’s Work team control to assign Manager, Approver, Partner or Preparation team responsibilities and review activity checkboxes. Higher responsibilities inherit ordinary activities within that team; Self-review and approve is an explicit personal exception and is off by default. The current Owner reviews and activates new teams.
Deactivate, reactivate, or unlock an account
Deactivate prevents the member from continuing to use the workspace. Review owned work and reassign it first. Reactivate restores an inactive member subject to their effective role/permissions. Unlock clears an account lock caused by failed access attempts; verify the person’s identity through an approved channel before doing so.
These actions require team.deactivate or the equivalent approved permission.
Review or add a user-specific override
Click Permissions for the member. Review Effective Permissions and distinguish role-derived permissions from overrides. Open Permission Overrides. Select the Permission. Choose the action to grant or revoke it. Enter a Reason and optional Expires At value. Save the override.
Use work teams for adopted client work. Overrides apply to other permissions and cannot bypass an active work team. Record an owner, reason and appropriate expiry for exceptional access.
Change the role-permission matrix
You need the firm-edit permission.
Navigate to Settings → People → Roles & Permissions. Open Other permissions. Review each resource and permission across the roles. Select or clear the required boxes. Changed cells are highlighted. Click Save changes. Open Change log and confirm the recorded result.
Use Reset before saving to discard all pending matrix changes. It does not roll back changes that were already saved.

Expected result
The selected setting is saved in the correct firm workspace, its effect is visible to the intended users or outputs, and the change can be reviewed from the relevant record or history.
