Find, create, and onboard a client

Find an existing client

Open Clients from the module rail. In Search by company name or PAN, enter part of the legal name or the PAN available to you. Use Filter by company type when the result list is large. Open the client and verify the legal name, entity type, and masked registration details before starting work.

The list contains every client your firm has onboarded that your role can see. If a client is inactive, preserve its history and confirm whether it should be reactivated instead of duplicated.

Start the client intake

From Clients, click Add Client. If there are no clients, use the add action in the empty state. The Add client page opens with five steps: Pre-Screening, Company Info, Financial & Tax, Key Personnel, and Review.

Step 1 — Pre-Screening

Choose Assessment Type: New Client or Continuance. Choose Initial Risk Assessment: Low, Medium, or High. Select Conflict of interest check completed only after the check has actually been performed. Select Independence requirements can be met only after evaluating the firm and proposed team. Enter Screening Notes for risk factors, conditions, or special considerations. Click Next.

The product will not proceed until the assessment type, risk grade, conflict check, and independence confirmation are complete. These confirmations are professional evidence, not setup shortcuts.

Step 2 — Company Info

Enter the exact Client / taxpayer name. Choose Entity type. Enter applicable registrations: PAN, TAN, CIN, LLPIN, and Primary GSTIN. Choose the GST Category and Financial Year Start where applicable. Enter the registered address, city, state, and pincode. Enter industry type, industry, nature of business, incorporation date, primary ERP, and ERP version. Enter the primary contact’s name, designation, email, and phone. Review any Potential Duplicate Detected banner. Open the possible match and confirm whether it is the same taxpayer before proceeding. Click Next.

PAN and GSTIN are validated when supplied. PAN must use the 10-character format and GSTIN the 15-character format. Do not invent a registration to bypass validation.

Important: the client record is created when Company Info is successfully saved, before the remaining wizard steps are finished. If you leave later, search for this client and resume/update it rather than creating another record.

Step 3 — Financial & Tax

Complete the fields that apply, including current/previous turnover, total assets, borrowings, paid-up capital, nature of entity, digital-transaction threshold, listed/subsidiary state, parent company, and statutory/GST/cost-audit requirements.

Use reliable current information. These values influence applicability, materiality, checklists, and later audit/return context; they can be updated when better evidence is available.

Step 4 — Key Personnel

Choose the person Type: Director, Key Managerial Personnel, Partner, Proprietor, Trustee, Authorised Signatory, or Karta, as applicable. Enter Full Name and applicable DIN, designation, appointment date, PAN, email, and phone. Click the add action. Repeat for each relevant person.

Removing a person is destructive. Confirm the correct row and whether historical references will remain before clicking Remove.

Step 5 — Review

Review Pre-Screening, Client Identity, Primary Contact, Financial Profile, and key-person information. Go back to correct errors. Finish the intake. Choose Create First Engagement or Go to Client Detail.

Expected result

The client appears in Clients and its detail workspace opens. Registration, acceptance, return, and engagement setup may still be incomplete; creation alone does not mean the client has passed acceptance or is ready for filing.
